There is no fixed deadline in the regulation for how long it may take to set up a single digital battery passport. What is certain: as of 18 February 2027, the passport must be in place before a battery falling under the regulation is placed on the market. In practice, companies that have started see a lead time of a few weeks to several months per product line, and that variation almost never lies in the passport itself, but in what comes before it.
The two biggest factors are how complete the technical data from the manufacturer or supplier already is, and how quickly it becomes clear within the company who has which role. If that clarity exists, then assembling and publishing the passport itself is relatively quick to do. If that clarity is lacking, the lead time will soon increase.
What specifically determines the lead time
A digital battery passport consists of data that must come from somewhere: chemical composition, origin of raw materials, performance, and information on disassembly and recycling. Whoever already keeps that data structured, for example in a product database or via the manufacturer, can relatively quickly work through the steps. Whoever has to request that data from a supplier abroad must allow for waiting time, translation work and sometimes a few rounds back and forth because an initial submission is not complete.
In addition, the number of different models or battery types a company carries matters. Setting up one passport is different from creating a series of passports for an assortment of e-bike batteries with minor differences. In the latter case, it makes sense to get the process right for one model first before the rest follows.
Where it gets stuck in practice
Missing or scattered data
The most frequently mentioned delay is that the required data exists, but not in one place. Technical specifications are with procurement, safety information with quality, and supplier data somewhere else again. Finding that information together often takes more time than filling in the passport itself.
Unclear about your own role
A second delay occurs when it is not yet clear whether a company is classified as a manufacturer, importer or distributor under the regulation. This role determines who must provide which data and who is ultimately responsible for the passport's content. If that question becomes clear only halfway through, part of the work has to be redone.
Internal decision-making
The third delay is rarely in the technology and more often in the time needed to make an internal decision: who is driving this within the company, what budget is available, and who signs off before data goes outside. In companies where this is handled by one person, the process usually runs faster than when it goes back and forth between departments.
When it makes sense to start
Because the obligation takes effect on 18 February 2027 for batteries placed on the market from that date, the question is not so much when the passport must be ready, but when the first step is taken. Whoever now already maps out which data is missing and what role the company presumably has, prevents that clarification phase from coinciding with the period in which the data must actually be processed. With answering a few questions to get a first indication provides a picture of where a company roughly stands, without committing to a process right away.
To see how the data flows from submission to published passport, and where the ten years of hosting and the QR data carrier fit into that process, it helps to look at how the data flow is structured. For companies uncertain about their role in the chain, or about which data is precisely mandatory, the explanation per situation is available in the knowledge base with topics listed.
The exact lead time for your specific situation depends on factors that differ per company, and only internal review or consultation with an advisor can provide real clarity on this. What does apply to everyone: the earlier it is clear which data you already have and which still needs to be requested, the less the final months before 18 February 2027 will be under time pressure.
Those who want to start with that clarification phase can do the free quick-scan without obligation or create a business account to track progress.
